Operations Assistant:

The Operations Assistant is a key role on the MOVE Summit team. If you are highly organised, personable, and enthusiastic about events management, this role is for you!

Key responsibilities include (but are not limited to):

  • Supporting the events manager with logistical and administrative support
  • Promoting events across all social media platforms
  • Maintaining records of all bookings e.g. venue and catering and taking payments where necessary
  • Booking domestic and international travel and accommodation for high profile speakers
  • Assisting with creative decisions
  • Attending all meetings to act as a second point of contact
  • Ad-hoc duties at the event including, but not limited to, guest list management, helping speakers find and set up their rooms, etc.
  • Helping set up and dismantle events efficiently through to completion
  • Ensuring all printed and branded items for events arrive on time

Essential requirements:

  • Previous events management experience
  • Proven project management skills
  • Confident with all Microsoft Office packages
  • Experience in Adobe Photoshop and Illustrate a plus (not essential)

Event Delivery Assistant

The Event Delivery Assistant helps get MOVE over the line. If you are highly organised, enjoy being on the move, and eager to learn more about the events industry, this role is for you!

Key responsibilities include (but are not limited to):

  • Supporting the events team with logistical and administrative support
  • Attending all meetings to act as a point of contact
  • Ad-hoc duties at the event including, but not limited to, supporting the volunteer coordinator, setting up rooms ahead of talks, etc.
  • Helping set up and dismantle events efficiently through to completion
  • Ensuring all printed and branded items for events arrive on time

Essential requirements:

  • Proven project management skills
  • Confident with all Microsoft Office packages
  • Experience in Adobe Photoshop and Illustrate a plus (not essential)

Volunteer Coordinator

The Volunteer Coordinator assists the MOVE Team with compiling and scheduling the team of volunteers, who are the heart and soul of MOVE! If you like organising and leading teams and creating complex schedules, this role is for you.

Key responsibilities include (but are not limited to):

  • Creating and distributing the volunteer schedule across the three days of the event, set up, and take down
  • Act as the main point of contact for all volunteer enquiries
  • Manage and track volunteer refunds for per diems, keeping track of petty cash and reconciling invoices
  • Facilitate event take down on Friday evening and Saturday morning
  • Oversee and delegate set up of rooms for workshops and talks
  • Oversee registration desk at start of each day, checking and printing passes where necessary

Essential requirements:

  • Proven leadership experience
  • Confident with all Microsoft Office and Google Suite packages

Creative Reviews Coordinator

The Creative Reviews Coordinator is responsible for facilitating the Creative Portfolio Reviews, Business 1:1s, and Meet the Commissioners sessions through the three day event. If you’re highly organised with great interpersonal skills, this is the role for you!

Key responsibilities include (but are not limited to):

  • Setting up Google Form where attendees can sign up in advance for 1:1 sessions
  • Closing Google Form at the designated time
  • Keep track of time during 1:1 sessions, notifying participants when their slot is over
  • Keeping track of which speakers should be at which 1:1 sessions and directing them to their seats
  • Communicating with attendees and signing people up for slots day-of
  • Troubleshooting any technical issues with the sign up process

Essential requirements:

  • Confident with all Google Suite packages, especially Google Forms
  • Experience in a customer-facing role preferred (not essential)

  • Able to work independently as well as part of a team

Start date: 17th February
End date: 21st February

Exhibition Coordinator

The Exhibition Coordinator is responsible for organising and overseeing the exhibition space, which hosts multiple businesses, recruitment stands, industry bodies, demos, and more. If you’re great with outreach and event delivery, this is the role for you!

Key responsibilities include (but are not limited to):

  • Liaising with exhibitors ahead of the event to ensure they have the correct space and all materials needed
  • Assist in set up and take down of exhibition space (tables, chairs, banners, etc)
  • Day-of communication with exhibitors to help with ad-hoc requests

Essential requirements:

  • Previous event management experience
  • Confident with all Google Suite packages
  • Experience in a customer-facing role preferred (not essential)
